Booking and Cancellation Policy

1. Bookings

All bookings are made through the Soul of Nature online booking system, provided by a third-party booking platform. By completing a booking, you confirm that you have read and agree to the terms set out in this policy.

Payment is taken securely at the time of booking, either as a deposit or in full, depending on the session type. Soul of Nature does not store your payment card details — all payment processing is handled securely by the booking platform's payment provider and is fully PCI-DSS compliant.

2. Cancellations & Refunds

You are welcome to cancel or reschedule an appointment at any time up to 48 hours before your scheduled session at no charge. Cancellations and rescheduling requests can be made via:

Late cancellations (within 48 hours)

Cancellations made within 48 hours of the appointment start time are not eligible for a refund. As a gesture of goodwill, a one-time courtesy refund may be offered, subject to a £15 cancellation fee.

This courtesy is available once per client and is offered at our discretion. Where a refund is issued, it will be processed within 3–5 working days to the original payment method.

Non-refundable purchases

Prepaid plans, promotional offers, gift cards, and vouchers are subject to the same cancellation terms above, but are non-refundable in all circumstances. They remain valid for use within the expiry period stated at the time of purchase.

3. Health & Consultation

A consultation form will be required at your first session. This allows us to work together safely and ensures sessions are appropriately tailored to your needs.

If you have any health conditions, concerns, or are currently receiving medical treatment, we ask that you seek guidance from your GP or relevant healthcare provider before booking. It is your responsibility to disclose any relevant health information prior to your session. Failure to do so may affect the suitability of the treatment and Soul of Nature accepts no liability for any adverse effects arising from undisclosed health information.

Soul of Nature's services are complementary in nature and are not a substitute for medical diagnosis, treatment, or advice. Nothing provided during sessions should be taken as medical advice.

4. Changes Made by Soul of Nature

Soul of Nature reserves the right to cancel, reschedule, or modify appointments, session types, pricing, or venue. Where possible, you will be notified of any changes as early as possible by email, SMS, newsletter, social media, or via the website.

In the event of a cancellation initiated by Soul of Nature, you will be offered either a deposit transfer to a rescheduled appointment, or a full refund, as appropriate.

5. Your Data

The personal information you provide when booking is collected and processed in accordance with the Soul of Nature Data Protection & Privacy Notice, available on this website or upon request. By completing a booking, you acknowledge that your data will be processed as described in that notice.

6. Policy Updates

This policy will be reviewed annually or whenever a significant business change occurs, whichever is sooner.
